From the Main Menu
of Report Generator, press 'P' to Print Report. From the Print Menu
enter the file number(s) of the files you want to export. As you select each file the file name becomes highlighted (in reverse video). Up to four files can be combined into an exported report. After the last file is selected and becomes highlighted press 'S' and 'Enter' to start processing and move to the next screen.
About midway down the Print Report Menu screen there is an option P-Printed report destination. Press 'P' and 'Enter' The option for the destination menu will appear under choice: type in 'DISK'.
Then choose the disk drive where you want the file to be created and saved. Your options are limited to the drives that your computer can access. Press 'A' through 'Z' then press 'Enter'.
Press 'M' and 'Enter' to change the printed report format options. The Printed report format options menu will be displayed. Press 'S' for spreadsheet and press 'Enter" to bring you back to the
Print Menu.
From the Print Menu press '1, 2, 3, or 4' and 'Enter' from this menu depending on the format you want the data to be exported. (Note: If you export defective outlets only, all other
outlets tested are not exported.) A message will flash on the screen as the report is processed. Then the following message will be displayed: Report will be sent to file [Drive
letter]:REPORT.PRN. If necessary, press ESC key to stop . Generating Report.... page __ . When the report is finished press the 'Enter' key to continue. Press 'E' to Exit to the Main Menu.
The following will be displayed: "You have changed the printer configuration data. Press 'Y' to make the changes permanent or press 'N' to discard the changes." This is your choice. If you
chose 'Y' all the reports generated in the future will go to disk drive you designated and the file name REPORT.PRN. You can only change the destination drive not the file name or extension at this point.
(Caution: each time the data is exported to the file [drive]:REPORT.PRN it is overwritten unless you change the disk or drive designation each time after you generate the report.) We recommend you change the name
of the file from REPORT.PRN to a more descriptive name as soon as possible after generating the file. This will reduce the likelihood that it will be overwritten inadvertently. [Note: If you accept the
changes as permanent, they can be changed the next time you run a report. You will need to run through the steps to make the changes before the actual generation and printing of the report.]
At the
Main Menu press 'E' to exit the program.
You are now ready to import the data into your spreadsheet. Start up you spreadsheet program (Microsoft Excel or Lotus) The following example
was taken from MS Excel. Open the file REPORT.PRN or the new file name, if it has already been changed. The Text Import Wizard will open and walk you through the process of importing the data.
- Step 1 of 3. Under Original Data Type, select Delimited (the data is in a comma delimited format). Under Start Import Row, Enter 1. Under File Origin select DOS
. Click on the NEXT button to go to Step 2.
- Step 2 of 3. Under Delimiters, click Tab OFF (Tab) and click Comma ON (Comma). Under Text Qualifier, select {none}. Click on the NEXT button to go to Step 3.
- Step 3 of 3. In this screen select GENERAL as the Column Data Format. The Data Preview should display the data in the correct columns. (If the data is not in columns separated by
a line, click on the BACK button and make sure Tab is OFF.) If the preview is correct click on the FINISHED
button. The data will be imported into a spreadsheet. The spreadsheet contains the data in unformatted columns. Be sure to label the column headings in the same order as those on one of the sample reports generated by the NST software. The spreadsheet can now be reformatted to display the data to your specifications.
Once the data has be imported, save the data under a new file name with the appropriate extension (e.g., newname.xls for Microsoft Excel). This will preserve all the formatting changes you make with the
spreadsheet.
